When you join us at Kelly's Reading Club, you agree to the following terms and conditions: Kelly’s Reading and Math Club Policy By purchasing a membership at Kelly's Reading or Math Club, the customer acknowledges and agrees to be bound by the terms and conditions outlined in our policy. This agreement is effective immediately upon purchase and applies to all aspects of the membership, including but not limited to cancellations, payments, and student behaviour. Kelly's Reading Club In-Person Cancellations At Kelly’s Reading Club, we understand that schedules can change. However, we do not offer refunds for missed classes. If you need to cancel a session, we offer two options: Online Booster Class: Students can make up for a missed session by attending an online booster class at no additional charge (subject to availability with no guarantee). Alternate Day: Depending on availability, we may be able to reschedule the session to an alternate day. This option cannot be guaranteed. Please notify us as soon as possible if you need to cancel or reschedule a session to maximize the chances of finding a suitable alternative. Payments Payments for tutoring sessions are due upon receipt of the invoice. Payments can be made by credit card using the invoice link provided. Please note the following: Late Payments: Payments not received by the due date will incur a $15 administration fee. This includes transactions that are declined using the credit card on file. Non-Refundable Payments: All payments are non-refundable. This includes payments for sessions that are missed or canceled. New students will be charged a non-refundable deposit fee of $50 upon registration. Timely payment ensures that we can continue to provide high-quality tutoring services. Student Behaviour We are committed to creating a positive and safe learning environment for all students. To maintain this environment, students are expected to: Behave in a Safe and Respectful Manner: Respect towards teachers, fellow students, self, and property is mandatory at all times. No Tolerance for Unsafe Behaviour: Any behaviour deemed unsafe, disruptive, or disrespectful will not be tolerated. Depending on the severity, such behaviour may result in a warning, temporary suspension, or immediate termination of the student’s membership in the program. We encourage parents to discuss the importance of respectful behaviour with their children to ensure a productive learning experience for everyone involved. Drop Off and Pick Up at The Teaching Space You can drop off at the start time of your class. Our class is in the basement of The Teaching Space. If there is no teacher from Kelly’s Reading Club there to greet students, please do not leave your child unattended. We will be there very soon to safely supervise. You are welcome to stay in the lobby of The Teaching Space. It's small and cozy and there is free wifi. You can also leave The Teaching Space during the class if that works better for your schedule. Pick-up time is promptly when the class finishes. Please try to be on time because we can not supervise students once the class is finished. Please come to the basement of The Teaching Space to pick up your child. If the door of The Teaching Space is locked, a teacher will let you in at the ending time of the class. If you need to get in sooner, you can call Kelly at 416-316-0465 and someone will let you in. Danforth is very busy with cars and bikes and it is not safe for our students to walk to and from their family cars on their own. We will dismiss students directly to parents or approved caregivers. We will NOT allow students to walk to their cars or walk home alone. Items Brought to Class Students are welcome to bring water bottles. Please do not bring any food, gum, candies, etc. These are very distracting and could be dangerous for students with food allergies. Please refrain from bringing toys or other items from home to class. Students will be provided with a pencil case, pencils, and items from Kelly’s Reading Club that they must bring to class. Other items from home, such as toys, slime, fans, cards, excessive jewelry, or school supplies outside of the Kelly’s Reading Club kit, are very distracting and should be left at home. Technology Issues in Online Classes For online classes at Kelly's Reading Club, it is essential that a parent or guardian be available to safely supervise the child and assist with any technology-related issues that may arise during the session. Technology Requirements: Device Setup: Parents are responsible for ensuring that the child’s device is equipped with a functioning camera, microphone, and speakers or headphones. These components are necessary for effective participation in the online class. Supervision: A parent or guardian must be present and available during the session to help the child with any technical difficulties and to ensure a safe and focused learning environment. Environment: To maximize the child’s learning experience, it is preferred that the child attends the class from a quiet space at home. Participation from a car, outdoors, or other noisy environments is discouraged, as it can be distracting and may interfere with the effectiveness of the lesson. By adhering to these guidelines, we can ensure a smooth and productive learning experience for your child. If there is an issue with internet connectivity from Kelly’s end, a make-up class will be offered subject to availability. Google Classroom A Google Classroom link will be shared with you upon registration. It is the parent’s responsibility to join the classroom using the invitation link. Activities and games will be posted each week. These are for your child to practice skills that they learn at Kelly’s Reading Club. If there is an assignment where students can complete work and turn it in for feedback, the assignment must be completed by the due date or you will not be able to turn it in and receive feedback. On June 1, 2025, the Google Classroom will be archived and students will no longer have access to it. Before that date, your child will have access to the Google Classroom for as long as they are a member of Kelly’s Reading Club. This policy outlines key expectations and procedures to help ensure a smooth and effective tutoring experience for all parties involved. Reader Express and Math Coaching (one-to-one online lessons) Supervision During Lessons Parents agree to supervise their child during online lessons. The tutor cannot be expected to safely supervise the child due to the nature of online instruction. Cancellation and Make-Up Lessons One-Hour Notice Required: Lessons canceled with at least 1 hour's notice may be rescheduled, subject to availability. If no make-up lesson is available, the cost of the missed lesson will be credited to the following month’s invoice. Late Cancellations: Lessons canceled with less than 1 hour's notice may not be eligible for a make-up lesson or credit. No-Shows: A "no-show" occurs when a student does not attend a scheduled lesson without prior notice. The following applies to no-shows: -Full lesson cost will be charged. -No credit or make-up lesson will be provided. -The tutor will wait on the call for 10 minutes. If the student has not arrived, the absence will be considered a no-show. As a courtesy, the tutor may call or email to remind you of the lesson after 5 minutes. After three no-shows, tutoring services may be discontinued. Zoom Waiting Room Protocol If you are in the waiting room for more than 5 minutes past your scheduled lesson time, call 416-316-0465 to notify the tutor. For families outside Toronto, please use WhatsApp or Facebook Messenger (@Kelly Michelle) to avoid long-distance fees. Notification Required: If you notify the tutor by phone and they cannot admit your child into the Zoom call, the lesson will be credited to the following month. No Notification: If you do not call to notify the tutor, no credit, refund, or make-up lesson will be provided. Technological Issues On Kelly's End: If a lesson is missed due to technical issues (e.g., power or internet outages) on the tutor’s end, the cost of the lesson will be credited to the following month. On the Student’s End: Families are responsible for their own internet access. Lessons missed due to technical issues on the student’s end will not be credited, refunded, or rescheduled. Payment and Late Fees Payment is required at the beginning of each month, and invoices must be paid in full by the due date. Auto-Pay: It is strongly recommended to sign up for auto-pay in Tutorbird to avoid late fees. Manual Payments: If you choose to pay manually via credit card through Tutorbird or by e-transfer to thereadersclub.info@gmail.com, a 10% late payment fee will apply to overdue invoices. Declined Auto-Payments: If your credit card is declined, you have 5 days to pay the invoice amount before incurring the 10% late payment fee. Lesson Times Lesson times may be adjusted based on the tutor's availability. By agreeing to this policy, you acknowledge and accept these terms to ensure smooth operation and effective communication for online tutoring sessions.
